My time and task management systems in 2025

As I’ve been writing here regular updates on how I manage my tasks and time, I am now taking stock again of how I currently manage my time and tasks.

Here’s what I am currently using:

  • An annual planning, based on priorities and goals, in my bullet journal
  • A semester task list, in which I track in various categories what I have on my plate in the coming semester, in my bullet journal
  • A semester priorities list, with a limited number of main priorities – I write this in my bullet journal as well as on my office whiteboard
  • A monthly task list, in various categories, which I write in my bullet journal and on my whiteboard
  • A weekly priorities list, in various categories, which I write in my bullet journal and on my whiteboard
  • My Google Calendar, which holds my planning, tasks, and my day-to-day activities
  • Todoist for recurring reminders and very short tasks

All in all, I have quite simplified and streamlined my processes. Google Calendar is my main container – if I need to do something and it will take me more than 5 minutes, I am going to put it on there in a little time slot or bunched with, for example, other administrative tasks.
